IT and Facilities Assistant/Coordinator

To support our growing team and assist in the relocation to a new state-of-the-art HQ we are looking for someone to support Operations in the planning, preparation and execution of effective facilities and IT duties. This is an exciting opportunity for an energetic and pro-active career focused person to join our growing group.

Core Responsibilities:

  • • Front line support for IT issues for 40+ desktop / laptop end-users (Windows / MS Office) in conjunction with our IT Contractor.
  • • Working with our IT/Telephony Contractor on the regular upkeep and maintenance of all IT systems including servers, e-mail services, telephony system and internet connectivity to ensure maximum uptime of all systems and services
  • • Support liaison with third party software providers.
  • • Assist the Internal Operations team and IT Contractor with the installation, configuration and upgrading of existing and new hardware and software (eg RAM, Video Cards, Win 7 to Win10, migration to new PCs, backup data and mapping new folders).
  • • Coordinate and manage corporate mobile telephony and landline telephony accounts and devices.
  • • Research and coordinate procurement of AV/IT/telephony equipment.
  • • Maintain audit of equipment and software in use throughout the Company and a select number of Directors of the Company.
  • • When required assist Directors with troubleshooting home IT issues (eg wifi and routers).
  • • Maintain facilities records for the new 11,000sqft HQ.
  • • Assist in facilities procurement and service level agreements.
  • • Manage and monitor maintenance and service facilities contracts for the new HQ.
  • • Organise repairs and necessary maintenance for our new HQ.
  • • Ensure all stationery/printer areas are adequately stocked, ordering additional stationery, toners and paper when required.
  • • Ensure the business has an adequate supply of branded letterheads and envelopes or ordering additional branded letterheads and envelopes when required.
  • • To manage the issuing of permanent passes to staff to ensure that accurate records are maintained, while managing the incoming and outgoing archiving and to ensure that accurate records are maintained

Skills, Qualifications and Experience:

Essential:

  • • Computer literate with good Windows 7 skills and Microsoft Office skills, in particular Microsoft Outlook, Word and Excel.
  • • Self-motivated and able to multi-task, handling multiple priorities with good time management.
  • • Organised and tidy with a high level of attention to detail.
  • • High level of communication, both written and verbal.
  • • Solutions orientated with a customer and improvement focus.
  • • Full, clean UK driving license. • Fluent in spoken and written English.
  • • Ideally GCSE Grade C or above in Maths and English (or equivalent)
  • • Being flexible in approaching different tasks.
  • • Proven Facilities, Helpdesk or Customer service skills with a 'can do' approach.

Beneficial:

  • • Previous experience working in IT Support and/or Facilities an advantage.
  • • Computer Science related degree or qualifications.
  • • Experience building PCs from scratch.

The Details:

  • • We are offering full time employment with a salary between £22,000 and £27,000 per annum depending on experience and skill-set.
  • • The role is 5 days a week, Monday to Friday, 830am to 530pm, with a 1 hour lunch break.
  • • Pension scheme is currently being formulated.
