About the role:
[Employer hidden] are looking for an enthusiastic, organised and self-motivated individual. Your time will be split across different disciplines within the organisation. You will work closely with the Office Manager working across the operations team, supporting as and when required. You will take control of general administration, health and safety, procurement and the undertaking ‘front of house’ duties. Prospective candidates will be able to evidence strong administration and prioritisation skills, be well organised, and have good communication skills. Having an interest in innovation and technology is desirable but not a requirement.
Key Responsibilities:
- Work closely with the Office Manager, providing administrative support as/when required
- Handling all incoming calls, post and the provision of administrative support to staff and visitors onsite
- Booking travel and hotel accommodation
- Ensure office Health and Safety Risk Assessments are carried out and up to date
- Co-ordinating student work placements and carrying out H&S Induction on first day
- To hold the position of ‘front of house’, collecting and welcoming visitors to the office who wish to use the facility or attending internal meetings. Signing in visitors, issuing visitor passes as/when required
- Manage internal and external enquiries and bookings for meeting rooms, liaising on all aspects of meeting set up and requirements including facilities, room layout
- General office duties i.e. order consumables/stationary, general housekeeping of kitchen/public areas
- Processing and checking all supplier invoices
- Support with recruitment, processing CVs, submitting for shortlisting, arranging interviews etc
- Manage and reconcile the company petty cash
- Managing company generic email, diverting emails to appropriate teams/departments
Experience:
- Previous experience of working in an office environment
- Strong evidence of administrative skills
- Excellent communication and organisation skills
- Excellent written English
- Excellent attention to detail
- Enthusiastic and hard-working
- Proficient in Microsoft Office – Word, Excel and PowerPoint
Skills, Knowledge and Competencies:
- An organised approach and excellent time management skills
- Good communications skills with an eye for detail
- The ability to work well as part of a team
- A good level of English spelling and grammar
- Good numeracy skills
