Responsibilities

Primary Purpose:

Our Customer Service Administrator will play a crucial role in ensuring that our customers’ needs are met promptly and efficiently. Responsible for handling customer inquiries, processing orders, and coordinating with other departments to resolve issues.

This is a fast-paced, varied role that requires excellent communication, the ability to multitask, and a proactive approach to problem-solving.

You’ll be supporting our sales operations by handling administrative tasks, coordinating internal workflows, and ensuring our clients receive the best possible service.

We predominantly serve the events industry, and timing is everything. A cool, calm and organised approach when under pressure and tight time constraints is essential, along with a positive attitude and sense of humour.

Key Responsibilities:

  • Act as the first point of contact for customer inquiries, providing information and assistance via phone, email, and online platforms.
  • Process customer orders accurately and efficiently.
  • Maintain and update customer records in our database and CRM system.
  • Handle customer complaints or issues, escalating where necessary, and ensuring timely resolution.
  • Coordinate customer feedback and relay important information to relevant departments to improve processes and service quality.
  • Ensure that all administrative tasks are completed accurately and in a timely manner.
  • Provide administrative support to the sales team, including managing orders, processing quotes, and updating client records.
  • Liaise with other departments (e.g., sales, purchasing and production) to ensure timely and accurate delivery of products and services.
  • Coordinate and manage customer communications, responding to inquiries, and following up on outstanding orders.

Required Skills

Experience/ Core Skills

  • Proven experience in a customer service or administrative role
  • Strong multitasking abilities with the capability to prioritise effectively in a fast-paced environment
  • Excellent communication skills, both written and verbal, with the ability to work collaboratively across departments
  • High attention to detail and accuracy in all tasks
  • Proficient in Microsoft Office (Word, Excel, Outlook), and experience with CRM software (preferred)
  • A friendly, professional, and customer-focused attitude
  • Ability to work well under pressure and handle challenging situations calmly and effectively
  • Problem-solving skills and a proactive approach to finding solutions
