Job Purpose

We are seeking a dedicated and highly organised Service Scheduler to join our dynamic team. This role requires a proactive individual with excellent IT skills, outstanding customer service abilities, and the capacity to work effectively under pressure. The ideal candidate will demonstrate strong initiative and accountability, a solid understanding of Work in Progress (WIP), and the ability to optimise travel routes for field service personnel.

Duties

  • Schedule and coordinate service appointments for field engineers efficiently.
  • Continuously improve scheduling processes to maintain accuracy and efficiency.
  • Assign service requests based on skill set, location, and availability.
  • Ensure compliance with CCS operating protocols and manage engineer diaries.
  • Liaise with engineers daily to optimise service planning and delivery.
  • Handle customer calls, outbound appointment settings, letters, and job updates via Protean (CRM system).
  • Serve as the primary point of contact for service scheduling and manage urgent requests professionally.
  • Assist with repairs appointments, parts follow-ups, and re-attendance planning within three days.
  • Monitor and manage WIP to ensure all tasks are completed promptly.
  • Provide daily reports on works in progress, compliance visits, and repairs WIP.
  • Collaborate with technical supervisors to manage contracts and engineer schedules effectively.
  • Maintain strict adherence to company operations and ensure IT system accuracy.

Skills/Qualifications

  • Strong reporting and administrative writing skills.
  • Proficiency in Microsoft Office and workflow management.
  • Excellent organisational and analytical skills.
  • Professional problem-solving and inventory control capabilities.
  • Exceptional verbal communication skills.

Experience Required

  • Previous experience in scheduling, administrative, or customer service roles, preferably in a service-oriented industry.
  • Strong interpersonal and communication skills with a customer-focused approach.
  • Proficiency in scheduling software, CRM systems, and general office applications.
  • Exceptional time management and the ability to handle multiple tasks simultaneously.
