Responsibilities include supporting the maintenance department, preparing quotes and invoices, scheduling appointments, and managing engineer logistics. The ideal candidate will have strong communication, IT, and numeracy skills, with a high attention to detail and the ability to work under pressure.

Senior Administrator

[Employer hidden] are a specialist in natural and smoke ventilation systems and have been manufacturing, supplying, installing and commissioning ventilation systems for 35 years. We are looking for an experienced administrator who is seeking a new challenge in a demanding, fast paced environment. The ideal candidate will be flexible, willing to learn and comfortable working individually or as part of a supportive busy team in a face-to-face environment.

Key Responsibilities

  • Working alongside the Group Business Analyst assisting with the day-to-day support and administration of the maintenance department:
  • Basic quote preparation for maintenance contracts
  • Preparing pro-forma invoices to issue to clients
  • Entering Sales orders for goods, services and labour
  • Scheduling appointments for our engineers
  • Preparing Job Packs & Calendar Appointments for engineer visits
  • Costing engineers time from weekly timesheets to a sales order
  • Basic quote preparation for remedial works
  • Using Servicelife to record all customer and site history
  • Answering the phones and responding to emails as required
  • Booking Hotels for engineers
  • Managing ‘Van Stock’ and returns
  • Other duties as required

Candidate Requirements

  • Previous experience in a similar role is desirable
  • Strong communication skills all round for dealing with colleagues and  clients
  • Excellent numeracy and IT skills
  • Organised, accurate with a very high attention to detail
  • The ability to make decisions whilst working under pressure
