FULL DESCRIPTION

Summary

The WDCU is seeking an Administrator to support club cricket organization within the region. This part-time role involves competition planning, player registration management, communication with clubs and partners, social media management, and administrative support for meetings and events. The role offers flexible working hours, primarily involving 15 hours per week with evening meeting attendance, with an annual remuneration of £9,000.

Role Descriptor

To provide administration support to the WDCU to ensure the effective delivery of cricket activity in the West of Scotland.

Renumeration & Working Hours

Working hours are flexible and 15 hours per week, with some hours in the evenings for attendance to meetings. Annual remuneration is £9,000 per annum- this is pro-rata, and payment will be made via monthly invoice in 12 equal sums.

Responsibilities / Outputs

1. Competition planning - Delivery of league and cup competitions

Prepare fixture list for 6 Saturday leagues, 1 Sunday league, 3 Evening league, and 4 cup competitions.

Upload all fixtures to the Cricket Stats System and manage club result recording, scorecard errors and statistical updates.

Support the use of the [Employer hidden — view at passion-project.co.uk] Digital Platform alongside CS.

Manage the Fair Play score element of the Cricket Stats System, sharing information with the clubs and on social media.

Ensure all cup competition finals (4) are delivered and all trophy presentations organised at season’s end.

Manage the process of promotion and relegation at season end including annual check on Ground and Club Development criteria requirements for all clubs.

2. Player Registration (SCRS & Results Vault)

Manage and maintain these systems, working with [Employer hidden] and Clubs to ensure Player Registration for clubs and accurate filing of results.

Oversee all player registrations, change of details, transfers and emergency in season transfers.

3. All League Rules and Playing Conditions

Record all disciplinary cases and share with [Employer hidden] who are responsible for all D&A matters and will undertake all D&A hearings and appeals.

In addition, the administrator will support where practical and applicable.

4. Communication

Provide all clubs with regular updates on cricket activity in the west.

Provide all Club contacts with communications received from [Employer hidden].

Manage and regularly update the WDCU Social media outlets including the website, Twitter and Facebook.

Ensure Club contact list is kept up to date and accurate with an annual request for change of details and individual changes made on receipt.

Ensure effective communications are established with all partners but in particular, the member clubs, WDCJU, CSMOA and [Employer hidden].

5. WDCU Executive and CMC support

Maintain a monthly Administration log to manage and maintain all activity. Share with core management group.

Provide Administration support for the Cricket Management Committee Meetings, including arranging dates, drafting agendas and completing notes. (Around 8 per annum).

Attend all WDCU Executive meetings and providing Administrators report (Around 6 per annum)

Support the delivery of the Annual and Extraordinary General Meetings

6. WDCU end of Season Forum

In conjunction with the CMC Chair plan, deliver and record the end of season Forum. Including working with clubs to create a bespoke agenda, deliver the forum and produce the forum report.

7. Subscriptions / Balls

In conjunction with the treasurer ensure all annual club subscriptions are paid.

In conjunction with the treasurer manage the annual provision of balls to clubs including recording all orders, ensuring payment and supporting collection and delivery where necessary.

8. Umpires and CSMOA

Support CSMOA with the umpire appointments for the season.

Provide a weekly summary of the captains reports on umpire performance, identifying umpires’ strengths and weaknesses and areas for development.

Hold a meeting at least once a year with CSMOA to review season activity and plan all changes for future seasons.

9. Paid Players / Coaches and Overseas Amateurs

Manage the engagement of all the above supplying and collating all necessary paperwork, ensuring up to date home office guidance is provided and appointments are recorded on our website ensuring clubs are fully aware of guidance as set by [Employer hidden] via the Home Office.

10. Annual Awards

Manage the annual awards presentations including sourcing the memento, ensuring correct engraving and delivering the awards function.

11. Core Administration

Maintain the core administration system recording all activity. All information stored on a pen drive with monthly back up to hard drive on laptop.
